iCIMS is the hiring system behind many large US employers' postings, in healthcare, retail and manufacturing especially. It needs an account, one per employer, at careers-company.icims.com. The form runs over several steps: profile, resume, questions, voluntary disclosures, review. The resume upload parses into profile fields that you then edit, and that parse is the thing to watch. The reward is a candidate dashboard that shows each application's status, as Workday does.
Key points
- One account per employer. The address is
careers-company.icims.comorcompany.icims.com. - Several steps. Each saves when you press next. The session times out.
- The resume parse fills the profile. Check every date and every title.
- Questions include knockouts. Read each one twice.
- The dashboard shows status per application. Check it weekly instead of emailing.
The steps
| Step | What it asks | What goes wrong |
|---|---|---|
| Create profile | Email, password, name, contact | A second account with the same email |
| Resume | Upload, then the parsed profile fields | Dates and titles the parser mangled |
| Work experience and education | Entries filled from the parse, editable | A role split in two, an end date missing |
| Questions | Work authorisation, availability, salary, the employer's own | Knockout questions answered fast |
| Voluntary disclosures | Demographics, veteran status, disability | Optional |
| Review and submit | Everything on one page | Submitting before reading the experience step |
The parse does the typing. You do the reading, one entry at a time.
The account
Each employer's iCIMS is separate. Use the same email everywhere and store the passwords. If the system says an account exists, sign in or reset. A second account with the same email is the common cause of a locked record.
Some employers put a social sign-in button on the first step. It makes an account with the same rules, and the password is then with a third party. Email and password is simpler to recover.
The parse
The resume upload reads a one-column file with plain headings well. Two columns, text boxes and tables fail. The guide on ATS-friendly resumes has the rules. After the parse, open each work experience entry and check the title, the company, and both dates. A missing end date reads as a current role. A date the parser set wrong is a date you submitted, and the background check compares against it.
The questions step
Knockout questions live here: authorisation to work, sponsorship, a licence or certification, availability for shifts. A wrong answer ends the application without a person reading it. Read each one twice and answer truthfully. The employer adds short-answer questions here too. Write those in a text file first, because the step saves when you press next and loses an unsaved page on a timeout.
The dashboard
After you submit, the dashboard lists applications at that employer with a status, and a status that changes when the recruiter moves it. The vocabulary varies by employer. Check it once a week. The guide on how long until you hear back has the timelines. Withdrawing is a link on the same page, and a draft you did not finish shows there too.
The common errors
| Error | Fix |
|---|---|
| "This email is already in use" | Sign in or reset the password. Do not make a second account. |
| The page timed out mid-step | Sign in. The steps you pressed next on are saved. |
| The resume will not upload | A PDF or Word file under a few megabytes with a text layer |
| A required field with no visible error | A date entry with a month and no year. Open each entry. |
| The form shows a different role than the one you clicked | The job link carried an old requisition id. Go back to the board and open it again. |
On this site
Tailor rewrites your resume and cover letter against the posting before you open the form, so the words you paste in are the ones the posting used. When you send it, add the row in Track, with the ATS score you sent it at. We do not fill the form for you: the pledge on this site says we will not apply on your behalf.
Before you open the form
The tailored resume as a one-column PDF. The answers to the standard questions in a text file, because the questions step saves on next and not on type. The username and password for this employer, if you have applied before, because a second account is the common cause of a locked record. With the three ready, the steps take twenty minutes. The parse check on the experience step is where most of the twenty go, and it is the twenty that matter.

Questions
Is there a way to skip the account?
No. iCIMS employers require it. The dashboard it gives you is the trade.
Does the profile carry over to other employers on iCIMS?
No. Each employer's instance is separate. Your resume file and your answers in Apply carry over on this site instead.
How long until the status changes?
When the recruiter moves it, weekly at most large employers. The guide on how long until you hear back has the timelines.
The status says "not selected" within minutes. What happened?
A knockout question. No person read the application. Check which question it was and whether your answer was true.
Can I apply to several roles at one employer?
Yes, from the same account. The recruiter sees all of them on one record, which is normal.
