Executive Assistant
We are seeking a talented individual to join our Administrative Assistants team, part of our Marsh Operations Center AA Hub at Marsh. This role will be based in Mexico City. This is a hybrid role that has a requirement of working at least three days a week in the office.
The team provides high-quality administrative support to US-based colleagues and executives across a global, multicultural organization. You will partner closely with colleagues across time zones, build trusted working relationships, and help deliver a seamless support experience through strong organization, responsiveness, and attention to detail.
We will count on you to:
- Provide proactive administrative support to US-based colleagues and executives, anticipating needs and following through on commitments.
- Manage complex calendars, coordinate meetings across time zones, and help prioritize competing requests and changing schedules.
- Coordinate domestic and international travel arrangements, including itineraries, logistics, and related follow-up.
- Prepare and process expense reports while maintaining accurate records and meeting required deadlines.
- Provide basic formatting and production support in PowerPoint, Word, and Excel, as well as assistance with Contract HUB and DocuSign activities.
- Collaborate as one team, communicate clearly and diplomatically, and contribute to continuous improvement by sharing knowledge and best practices.
What you need to have:
- Minimum of 3 years of experience.
- Strong written and verbal communication skills in English, with the ability to work effectively with colleagues across cultures and time zones.
- Effective planning and organization skills, with the ability to manage multiple priorities, meet deadlines, and maintain visibility of work in progress.
- A strong sense of ownership, commitment, and urgency, combined with sound judgment when handling priority requests and sensitive information.
- Excellent attention to detail and the ability to remain calm, adaptable, and quality-focused in a fast-paced environment.
