Job Summary

The Capacity Management Lead is responsible for leading a team of Capacity Management Analysts who maintain and optimize provider scheduling templates within Epic Cadence to support patient access goals across Baylor Scott & White Health. This role serves as both a people leader and subject matter expert, overseeing Epic Cadence build activities, template governance, quality assurance, operational analytics, and access optimization initiatives.

The Capacity Management Lead partners closely with operational leaders, physicians, clinic leadership, patient access teams, and Information Services to understand scheduling workflows, identify opportunities for improvement, and implement system enhancements that improve patient access and provider utilization. This individual also leads project planning, prioritization, resource allocation, and stakeholder communication while supporting the overall development and performance of the Capacity Management team.

Essential Functions of the Role

  • Serve as a functional and technical Subject Matter Expert on the application and Scott and White workflows. Apply good knowledge of the technology and enterprise processes. Unite closely with all teams to drive a holistic patient perspective.
  • Test and document workflows, data collections, and end-user report details. Address technical issues related to the application. Consider vendor and internal stakeholder needs.
  • Create, modify and track system build timely and effectively
  • Create and execute test scripts for new system builds.
  • Provide Application Help, Implement system updates and changes, and communicate those changes to super users and end users.
  • Engage, manage, communicate and earn the care and respect of all stakeholders.
  • Train and mentor Application Analysts.
  • Head business partners and technical team to define, document, and review business system requirements to continuously improve organizational efficiency.
  • Assist IS managers and work with teams to know about Scott & White's policies, procedures, and operations. Translate these needs into specialized application specifications.
  • Solve problems by studying business issues /requirements, examining both data and workflows and synthesizing key messages.

Key Success Factors

  • Epic Cadence Certification strongly preferred.
  • 4+ years of progressively responsible experience supporting Epic Cadence, patient access operations, healthcare IT, or related functions strongly preferred.
  • Experience performing Epic build, testing, implementation, and workflow analysis strongly preferred.
  • Experience analyzing operational data and implementing process improvements strongly preferred.
  • Advanced Epic Cadence application knowledge.
  • Strong understanding of ambulatory scheduling workflows and provider template management.
  • Demonstrated ability to lead teams and influence stakeholders across multiple departments.
  • Strong analytical and problem-solving skills with experience using data to drive operational improvements.
  • Knowledge of patient access and capacity management principles.
  • Excellent verbal, written, and presentation communication skills.
  • Ability to manage multiple projects and competing priorities simultaneously.
  • Strong customer service orientation and relationship-building skills.
  • Experience coaching and developing technical team members.
  • Ability to translate complex operational needs into effective system solutions.
  • Experience navigating large, matrixed healthcare environments.

Wage Transparency

The pay range for this position is $86,028.80 (entry-level qualifications) - $133,286.40 (highly experienced). The specific rate will depend upon the successful candidate’s specific qualifications and prior experience.
