Job Title: Administrative Assistant

Job Description

This role provides comprehensive administrative support to ensure the smooth and efficient operation of the office. You will handle a wide range of clerical and organisational tasks, including managing communications, maintaining records, preparing documents, and supporting day-to-day office activities. The position requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities independently.

Responsibilities

  • Answer incoming phone calls and respond to emails in a professional and courteous manner.
  • Enter work orders accurately and maintain up-to-date records in management systems.
  • Perform general office duties, including ordering supplies and monitoring stock levels.
  • Support basic bookkeeping activities as required.
  • Prepare invoices, reports, memos, letters, financial statements, and other business documents with a high level of accuracy.
  • File and retrieve corporate documents, records, and reports in an organised and timely manner.
  • Open, sort, and distribute incoming correspondence, including post, faxes, and emails.
  • Prepare clear and timely responses to correspondence containing routine enquiries.
  • Provide general administrative support to the team and contribute to the efficient running of the office.
  • Deliver a high standard of customer service in all interactions with internal and external stakeholders.

Essential Skills

  • 2–4 years of experience in an administrative or office support role.
  • Proficiency in Microsoft Office applications.
  • Strong organisational skills with excellent attention to detail.
  • Ability to manage multiple priorities and maintain accurate, timely work.
  • Strong written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Customer service skills with a professional telephone and email manner.
  • High school diploma or GED.

Work Environment

This is a fully on-site role based at a professional office location in Miami, Florida, operating Monday to Friday from 8:00 a.m. to 5:00 p.m. You will work in a structured office setting using standard business technologies, including a laptop and Microsoft Office applications. The environment is focused on efficient, accurate administrative support and regular interaction via phone and email during standard business hours.

Job Type & Location

This is a Contract to Hire position based out of Miami, FL.

Pay and Benefits

The pay range for this position is $22.00 - $24.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
