Healthcare Records Specialist

Location: Hilton Head Island, SC

Work Schedule: 8:00 AM - 4:30 PM | On-Site

Employment Type: Contract-to-Hire (6 Months)

Position Overview

We are seeking a highly organized and detail-oriented Healthcare Records Specialist to join a fast-paced hospital environment. This position plays a critical role in ensuring the accuracy, integrity, accessibility, and security of patient medical records throughout the healthcare continuum.

The ideal candidate will possess a strong administrative background, exceptional customer service skills, and experience working with medical records or healthcare documentation. This role is responsible for managing document imaging processes, maintaining electronic health records, supporting providers and clinical staff, and ensuring compliance with healthcare regulations and record retention standards.

Key Responsibilities

Document Imaging & Record Management

  • Prepare paper medical records and documentation for scanning and electronic storage.
  • Scan, upload, and index patient records into document management systems and electronic medical record (EMR) platforms.
  • Conduct quality assurance reviews of scanned documents to ensure completeness, legibility, and proper indexing.
  • Validate patient information and document classification before records are archived electronically.
  • Meet departmental productivity standards for record processing and document imaging activities.

Medical Record Analysis

  • Review patient records for completeness and compliance with established healthcare documentation standards.
  • Identify missing documentation and facilitate appropriate follow-up procedures.
  • Assist with provider deficiency tracking and record completion workflows.
  • Support document reconciliation efforts to ensure records are accurately maintained.

Health Information Administration Support

  • Process requests related to continuity of care, patient record retrieval, and information access.
  • Respond to internal and external inquiries regarding patient documentation while maintaining confidentiality.
  • Assist clinical departments, physicians, and administrative staff with record-related requests.
  • Support chart retrieval, chart pick-up, and reconciliation activities throughout the facility.

Patient Information & Data Integrity

  • Perform data integrity functions such as:
    • Record corrections
    • Duplicate record resolution
    • Medical record merges
    • Patient chart maintenance
  • Ensure information accuracy across electronic systems.
  • Escalate discrepancies and documentation concerns as appropriate.

Vital Records Processing

  • Assist with birth and death certificate documentation when required.
  • Communicate with patients and family members to obtain necessary information.
  • Ensure documentation complies with applicable state and facility requirements.

Compliance & Privacy

  • Protect patient confidentiality and uphold privacy requirements at all times.
  • Maintain compliance with healthcare regulations, record retention policies, and organizational procedures.
  • Exercise discretion when handling sensitive patient information.
  • Follow established security protocols for electronic and paper records.

Customer Service

  • Deliver professional service to physicians, clinical teams, patients, and external agencies.
  • Answer departmental phones and provide timely assistance.
  • Build positive working relationships through responsive communication and problem-solving.
  • Prioritize requests appropriately while maintaining service excellence.

Required Qualifications

Education

  • High School Diploma or GED required.

Experience

  • Minimum of 2 years of experience in one or more of the following:
    • Medical records
    • Healthcare administration
    • Hospital operations
    • Health information management
    • Healthcare customer service
    • Administrative support functions

Technical Skills

  • Strong computer proficiency with:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft Outlook
    • Document management systems
    • Electronic medical record (EMR) platforms
  • Excellent keyboarding and data entry skills.
  • Ability to navigate multiple software applications simultaneously.

  • RHIT (Registered Health Information Technician) certification preferred.
  • RHIA (Registered Health Information Administrator) certification preferred.
  • Experience with electronic document management systems and record indexing platforms.

Schedule

  • Monday through Friday
  • Every weekend required
  • Two weekdays off each week
  • 8:00 AM – 4:30 PM

Job Type & Location

This is a Contract to Hire position based out of Hilton Head Island, SC.

Pay and Benefits

The pay range for this position is $15.80 - $19.70/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
