Baylor Scott & White Medical Center – Austin is entering an exciting period of growth as we expand key service lines to better serve the Greater Austin community. This includes the development of a new cardiac catheterization (cath) lab, expanded imaging services, and a new breast imaging and mammography center, along with enhancements across the campus.

To support this growth, we are hiring ahead of phased openings to build and prepare our teams in advance. Start dates will vary by role and specialty as departments come online throughout 2026.

Job Summary

The Scheduling Specialist 2, under general supervision, schedules complex procedures like interventional radiology. They validate and obtain history, physical, outside images, and complex orders. They also capture patient demographic and insurance information.

Essential Functions of the Role

  • Schedules and coordinates multiple appointments, procedures, and tests for patients. This includes obtaining patient history, physical information, outside images, and radiologist approval before scheduling complex procedures like interventional or invasive radiology procedures.
  • Uploads images to application for radiologist to review prior to study and move to PACS when necessary.
  • Contacts patients or providers for complex and/or interventional radiology procedures.
  • Communicates effectively with physicians and other providers.
  • Contacts patients to schedule complex and/or interventional radiology procedures.
  • Coordinates with day surgery, pathology, anesthesia, and any other necessary department when appropriate for complex and/or interventional radiology procedures.
  • Collect patient demographic and insurance information during scheduling calls. Validate that insurance is in network with the provider.
  • Compiles patient information such as diagnosis, reason for procedure, medications, allergies, and other applicable information prior to scheduled procedure.
  • Monitors inbound orders to ensure validation and proper routing. Ensures patients are contacted promptly to schedule procedures.
  • Contacts department affected by schedule adjustments to ensure patient is prepared and necessary personnel and equipment are available.
  • Responsible for meeting telephone system metrics and department productivity standards. This includes call length, answer time, and number of calls taken in a specific period.

  • Demonstrates effective and professional communication with physicians and other providers.
  • General knowledge of medical terminology and complex and interventional procedures.
  • Must exhibit high empathy and communicate well with patients and families during trauma, while showing exceptional customer service skills.
  • Demonstrates ability to manage multiple changing priorities in an effective and organized manner.
  • Excellent data entry, numeric, typing, and computer navigational skills.
  • Basic computer skills and Microsoft Office.

  • EDUCATION - H.S. Diploma/GED Equivalent
  • EXPERIENCE - 3 Years of Experience
