Job Description

Executive Assistant Support (Country Manager – ~70%)

  • Manage the Country Manager’s complex calendar, anticipating priorities and resolving conflicts proactively.
  • Coordinate end-to-end travel arrangements, ensuring efficiency and compliance with Visa policies.
  • Prepare and submit accurate and timely expense reports.
  • Provide proactive administrative and operational support to enable focus on strategic priorities.
  • Coordinate client meetings, visits, and internal/external engagements.
  • Organize senior management visits, including agendas, logistics, accommodation, dinners, and activities.
  • Support the organization of Town Halls, leadership meetings, Visa Talks, and offsites.
  • Assist with presentations and materials (PowerPoint, Excel, Word).
  • Provide ad hoc support to the Regional Managing Director when required.
  • Collaborate with Office Management on initiatives such as client mailings or engagement activities.

Office Management & Administrative Support (~30%)

  • Act as a key point of contact at reception, ensuring a professional and welcoming environment for clients, employees, and visitors.
  • Support office operations, including:
  • Meeting room setup and coordination
  • Kitchen, supplies, and shared spaces maintenance
  • Coordination with vendors and building management
  • Manage office access processes:
  • Badges and security coordination
  • Visitor registration (SPLAN system) and compliance with policies
  • Support internal and external events:
  • Room setup, catering coordination, and guest reception
  • Assist with workspace and parking allocation.
  • Monitor office maintenance needs and follow up on repairs proactively.
  • Handle incoming and outgoing mail and courier services, including certified/legal documents coordination.
  • Support agendas and scheduling for leadership meetings.
  • Coordinate travel and expenses for selected leadership members.
  • Build strong relationships with regional counterparts to facilitate coordination.

Visa requires at least 3 days in office, expectations of these days will be confirmed by your Hiring Manager.

Qualifications

Basic Qualifications:

  • Associate: Minimum of 6 months of work experience or a Bachelor's Degree

Preferred Qualifications:

  • Associate: 2 or more years of work experience
  • Bachelor’s degree or equivalent professional experience.
  • Minimum 3–5 years of experience in Executive Assistant, Administrative, or similar roles in a fast-paced, international environment.
  • Fluent in Spanish and English (both written and spoken).
  • Strong organizational and prioritization skills with high attention to detail.
  • Ability to manage multiple tasks and stakeholders simultaneously with a proactive mindset.
  • Excellent interpersonal and communication skills, with a service-oriented attitude.
  • High level of discretion and professionalism.
  • Advanced proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook).
