Job Description: Activities and Marketing Coordinator Position Reports To: Minister and Church and Ministry Committee Function The Activities and Marketing Coordinator works in close coordination with the Minister and the Church and Ministry Committee to strategize and implement marketing activities, church activities, and revenue-generating community events. Confidentiality During this work, the employee will have access to information that is considered confidential. It is important to respect the confidentiality of others; to follow procedures which protect privacy and to act in a professional manner. The employee may be dismissed from the position immediately if found acting indiscreetly with confidential material or not protecting privacy of others through their actions. Responsibilities 1. Meet and confer with the Minister and other leadership to discuss church activity plans and marketing efforts. 2. Coordinate and oversee church activities and revenue-generating community events. 3. Schedule and run meetings, appointments, and conference calls related to events and marketing activities. 4. Conduct tours to interested community groups and families. 5. Coordinate with suppliers, vendors, and contractors to ensure activities are timely and successful. 6. Manage guest lists, RSVPs, and activity registrations, and provide necessary support to attendees. 7. Provide on-site support during events and activities, manage registration, handle inquiries, and ensure smooth event and activity flow. 8. Work closely with printing services and team members to develop and implement marketing campaigns. 9. Assist in the identification and recommendation of promotional materials and activity resources in coordination with the Minister and the Church and Ministry Committee. 10. Publicize activities to the wider community, including but not limited to social media, website management, emails, promotional content, video production, and community promotion. 11. Submit marketing materials and activity details to the church office for publication by Wednesday prior to the scheduled event, unless other arrangements are made. 12. Analyze marketing data to optimize strategies. 13. Maintain organized records of activity and event details, marketing materials, and correspondence with vendors. 14. Respond to inquiries, emails, and phone calls related to activities and marketing efforts in a timely and professional manner. 15. Maintain bulletin board postings. 16. Attend staff meetings and monthly committee meetings as required. 17. Actively participate with the supervisor in setting work goals, periodic reviews, and annual evaluations. 18. All duties as assigned by supervisor. Qualifications for this Position 1. Bachelor’s degree in marketing, business, communications, or a related field preferred. 2. At least 2 years of work-related experience in marketing, event coordination, community service, public administration, public relations, volunteer administration or similar fields preferred. 3. Strong written and oral communication skills. 4. Effective organizational and time management skills. 5. Able to prioritize and be flexible with work tasks. 6. Demonstrated creativity and proficiency in marketing software and social media platforms. 7. Able to collaborate effectively with team members, vendors, and church and community members to achieve common goals. 8. Capable to work in a fast-paced environment and to adapt to changing priorities and deadlines. 9. Demonstrate excellent interpersonal and communication skills. 10. Proficiency Microsoft Office applications and social media platforms. 11. Must be able to pass a background check. Work Schedule and Location • Hours: Approximately 10 20 hours per week, depending on the volume of activity throughout the year. Hours worked over 20 in a week require supervisory pre-approval. • Location: This position requires the employee to be on-site; remote work is approved only on a one-off basis. • Handbook: Subject to the Employee Handbook of St. Peter’s United Church of Christ. Personal Time/Vacation The employee is eligible for time off as outlined in the employee handbook. Salary Schedule This position is classified as hourly. Procedure for Review This position shall be reviewed annually. Physical Requirements Involves frequent sitting, lifting, bending, stooping, walking, and standing. Light-labor activities including use of carts and assisting with decorating for events. Termination Employment can be terminated by either party. Resignations should be made in writing and delivered to the employee’s immediate supervisor. Employees are requested to provide two weeks’ notice.
