Position Overview We are seeking a highly organized, proactive, and detail-oriented Personal Assistant / Project Coordinator to work directly with the owner. This role is ideal for someone who thrives in a fast-paced environment and enjoys being both in the field and behind the scenes. You will play a critical role in supporting site visits, documenting project requirements, and helping turn those details into professional proposals. This position requires strong communication skills, technical curiosity, and the ability to stay organized across multiple projects. Key Responsibilities Field Support (Job Walks & Site Visits): * Accompany the owner to job walks, site visits, and client meetings * Take detailed, organized notes on project scope, requirements, and site conditions * Capture photos/videos and relevant site details for proposal development * Help ensure nothing is missed during walkthroughs Proposal Development: * Translate field notes into structured project outlines * Assist in building proposals, scopes of work, and estimates * Coordinate with internal team members for pricing and technical details * Review proposals for accuracy, clarity, and completeness Administrative & Project Support: * Manage emails, client communications, and follow-ups * Assist with scheduling site visits, installations, and project timelines * Support light project management tasks and coordination * Maintain organized records of projects, notes, and proposals Additional Duties: * Provide general administrative support to the owner * Assist with special projects and other duties as assigned Qualifications * Strong organizational and note-taking skills (this is critical) * Excellent written and verbal communication * Ability to multitask and manage multiple projects at once * Tech-savvy with willingness to learn low-voltage/security systems * Proficient in Microsoft Office / Google Workspace * Valid driver’s license and reliable transportation * Ability to attend in-person site visits regularly Preferred (but not required): * Experience in construction, low-voltage, or project coordination * Experience with proposals, estimates, or CRM/project tools What We’re Looking For * Someone proactive who doesn’t need to be micromanaged * Detail-obsessed and highly organized * Comfortable working directly with leadership * Able to think critically and anticipate needs * Professional and reliable Compensation & Benefits * Competitive pay based on experience * Opportunity for growth within a rapidly expanding company * Exposure to high-level project planning and operations * Hands-on experience in a growing technology/security industry Employment Type Full Time (30-40 hours per week) Pay $22-$26/hr based on experience
